Troubleshooting Sprout Social Publishing Calendar Issues

This guide outlines solutions to common questions and roadblocks you may face while using Sprout’s Publishing Calendar. Use it to quickly resolve issues and keep your content planning and publishing process running smoothly.

Why am I missing Posts in the Publishing Calendar? 

Check Your Calendar Filters
Missing posts are often hidden by filters. Here’s how to quickly rule that out:

  • Click the Filters button at the top right of the calendar to expand the filter options.
  • Review each filter to ensure you're not unintentionally excluding posts (e.g., by profile, message type, or status).
  • If you're unsure, click Clear All to reset all filters and view the full calendar.

Verify Your Date Range and View Selection

Make sure the date range you’ve selected includes the time period for the posts you're expecting to see.

  • Use the List, Week, or Month view to display posts in the format that best suit your workflow.
  • Adjust the calendar navigation to move between time periods and ensure your posts are within view.

Check for Failed Posts
Sometimes posts fail to publish due to media errors, profile connection issues, API limitations, or other factors.

  • Navigate to the Failed Posts tab under Publishing to see if your missing post appears there.
  • To avoid missing failed post alerts in the future, ensure your Failed Post notifications are enabled:
    • Go to Account and Settings > Settings > Notifications > Publishing > Post Status > Failed Post

Draft vs. Scheduled

If you're not seeing a post on your calendar, it may still be saved as a draft. Here’s how to tell the difference:

  • Scheduled Drafts appear on your calendar in yellow, but only if Drafts are enabled in your filters.
  • Unscheduled Drafts don't appear on the calendar and can only be found in the Drafts folder under the Publishing tab.
  • Important: Even if a draft has a scheduled time, it will not automatically publish. It will remain a draft until you disable the "Draft" toggle and save it as a scheduled post.

Approval Posts

If you're not seeing a post, it may be caught in the approval process. Here's how to check:

  • Awaiting Approval
    • Posts submitted for approval don't publish until they’re approved by the assigned approver.
    • In the calendar, posts awaiting approval appear in light pink/orange, but only if the "Needs Approval" filter is enabled.
  • Not Approved in Time
    • If a post isn’t approved or rejected before its scheduled time, it’s automatically rejected.
    • For posts with multiple scheduled times, it remains in Needs Approval until the final time passes.
  • Rejected
    • Check the Rejected folder in the Publishing tab to confirm whether the post was rejected or expired.

Check for Deleted Posts
If a post was deleted before its scheduled send time, whether it was scheduled or still a draft, it will not publish. To confirm, go to the Deleted stream under the Publishing tab.

Confirm Profile Connection
Ensure the profile is still connected to Sprout and to the correct group.

  • If a profile is removed from Sprout or disconnected from a group, any associated scheduled posts and activity will no longer be visible.
  • Reconnect the profile to restore visibility and access to its publishing activity.

Group visibility

Scheduled posts are tied to the group in which they were created.

  • If you schedule a post for a profile in Group A, it won’t appear on the Group B calendar—unless that same profile is also connected to Group B.
  • To view or manage the post, switch back to the original group where it was scheduled.

I am seeing extra or unrecognized posts in the Publishing Calendar that I did not publish in Sprout. Where did these come from?

Native publishing or Third Party Tool

  • Sprout displays all successfully published posts, even if they were posted natively on the social network or through another social media management tool. Once a post is live, the network shares that information with Sprout, and the post appears on your calendar.
  • Keep in mind: Scheduled or draft posts from outside Sprout won’t be pulled in.

Other Users 

  • If other users in your Sprout account have access to the same profiles, any posts they schedule or publish appear in the shared calendar.

How to identify the source

To identify the author of a post in the calendar, open the Activity Layer:

  • Hover over the post and click the clock icon.
  • If you don’t see the icon right away, click the three dots on the post, then select the clock icon.
  • The Activity Layer will display:
    • The initials and full name of the author (as listed in Sprout)
    • A timestamp showing when the post was created or last updated
    • If no author or update information appears, the post was created directly on the native social network or on a different third-party social media management tool.

Why am I seeing duplicate posts in the Publishing Calendar?

Cross-posting

If you have automated cross-posting enabled, it may result in duplicate posts. For example, if your Instagram account is set to automatically cross-post to Facebook, and you also schedule both an Instagram and a Facebook post in Sprout, the Facebook post publishes twice, once from Sprout and once from Instagram’s cross-posting, creating a duplicate.

Native retweets/threads

Sprout displays both natively published and Sprout-scheduled content. If you retweet or create a post directly on X (Twitter) or Threads, and also schedule similar content through Sprout, both versions may appear in your calendar, creating the appearance of duplicates.

This is especially common when managing multiple profiles or platforms. To confirm whether a post was created in Sprout or natively, check the post’s Activity Layer.

Accidentally Duplicating a Post When Trying to Reschedule
In Sprout, you can either reschedule or duplicate posts directly from the calendar. If you accidentally click Duplicate instead of Reschedule, this will create a new post, resulting in a duplicate.

Here’s how to tell the difference:

  • Reschedule opens a small pop-up on the calendar where you can select a new date and time.
  • Duplicate opens the full Compose window, allowing you to edit the caption and schedule a new post.

If you're trying to reschedule but the Compose window opens instead, exit out and try again using the Reschedule option.

Workflow overlaps 

Use the Activity Layer to confirm if another Team member accidentally published the same post, resulting in a duplicate.

How to manage your Publishing Calendar Saved notes?

From all  views of the Publishing Calendar, you can add notes to share ideas, highlight key dates, or provide extra context for your team. These notes are helpful for anyone scheduling or reviewing content.

If you or a teammate aren’t seeing calendar notes, check the following:

  • Visibility: Notes are internal-only and are never published to social networks. Make sure the Notes option is selected under Post Types in your calendar filters.
  • Permissions: Notes are Group-scoped, meaning only team members viewing the calendar in the same Group as the note can view it.
  • Saving: After adding or editing a note, be sure to click Save to retain your changes.

How to export your Publishing calendar: List vs. Weekly vs. Monthly Views

When exporting your Publishing Calendar, the information included depends on the view and filters you have selected. Here’s what to expect from each view:

List View

  • Always exports in Expanded View, even if Compact is selected.
  • Shows a detailed, post-by-post list including scheduled, queued, and sent messages.
  • Ideal for granular planning and reviewing content in sequential order.

Week View

  • Only exports in Compact View (Expanded not supported).
  • Provides a daily snapshot of posts, helping you spot gaps or overlaps in your schedule.
  • Best for short-term planning and maintaining consistent daily activity.

Month View

  • Only exports in Compact View.
  • Displays post counts per day along with social network icons to show where content is publishing.
  • Useful for a high-level overview of your monthly strategy.

Need post-level metrics?
For detailed performance data, export the Post Performance Report as a CSV to get insights like impressions, engagement, and clicks.

How do I use Link sharing with my Publishing Calendar?

With Sprout's Calendar Link Sharing, you can share a read-only version of your Publishing Calendar with external stakeholders—no Sprout login required. Here's what you need to know:

 Dynamic vs. Static Date Ranges

  • Static Dates: Manually selected dates that don't change unless you update them.
  • Dynamic Dates: Automatically adjust based on today’s date (e.g., “Next 7 Days,” “This Month”).

Filter Options

Customize what’s shared by applying filters before generating your link:

  • Date range (static or dynamic)
  • Profiles (which social accounts to include)
  • Post types (scheduled, sent, queued, etc.)
  • Tags (if applicable)

View-Only Access

Recipients can view the calendar and its content, but can't edit or interact with posts.

Expiration Settings

Enable the link expiration toggle to set a date when access automatically ends.
If someone tries to view an expired or deleted link, they’ll see an error message.

Why is a scheduled post not showing up on my Publishing Calendar?

If your scheduled post is not showing up on your Publishing Calendar, verify the following: 

  • Check our Calendar filters
  • Verify our date range and view selection
  • Check for Failed Posts
  • Check your Mobile Notifications tab
  • Confirm you are in the correct Group
  • Confirm the post wasn’t deleted and is showing in your deleted stream

How can I tell who on my team created a specific post in the calendar?

I added a note to a post in the calendar, but my team member can't see it. What's wrong?
Notes are Group-scoped, meaning only team members viewing the calendar within the same Group can see them. If someone can’t view a note, make sure they have access to the relevant Group in Sprout.

I shared a calendar link with a client, but they can't see all the posts. Why?

Make sure the filters and date range are set correctly before generating the link.
The shared calendar only displays posts that match the selected:

  • Date range
  • Social profiles
  • Post types (e.g., scheduled, sent, queued)
  • Tags (if applied)

If any of these are excluded, the recipient can't see that content in the shared view.

Can I edit posts from a shared calendar link?

You can't edit posts from a shared calendar link. Recipients can see a read-only version of the Publishing Calendar based on the date range, social profiles, and content types you selected when sharing. They can view all scheduled posts, including in List View.

If the link is expired or deleted, the recipient sees an error message and can no longer access the shared calendar.

A post failed to publish. How can I find out why?

I am running a campaign. How can I see all my campaign-related posts together on the calendar?

To view all your campaign-related posts on the calendar:

  1. Use the Tag Filter dropdown in the Publishing Calendar.
  2. Select Campaigns, then choose the specific campaign you'd like to view.

This filters the calendar to show only posts tagged with that campaign.

I want to give a new team member access to view the Publishing Calendar but not schedule posts. How do I set this up?

To give a team member access to view the Publishing Calendar without allowing them to schedule posts, assign them read-only permissions for the relevant social profiles. Here's how:

  1. Go to Account and settings.
  2. Navigate to Settings > Roles and Team Members.
  3. Select Teams and Members, then locate the team member.
  4. Click the pencil icon next to their name to edit their permissions.
  5. Under Profile Permission Sets, find the social profiles you want them to access.
  6. Set their permissions to Read Only.

This ensures they can view posts on the Publishing Calendar but can't create or schedule new content.

Does Sprout have a feature to plan my Instagram Grid in the calendar? 

Sprout has the Instagram Grid Planner within the Publishing tab where you can preview how your Instagram posts look. This view shows sent posts, including Reels, for the past 90 days and any pending, draft or scheduled posts.
