How to Use:
Controlling Connected Profile Data: "Query Only" vs. "All Data"
In the Connected Profiles section of the Listening Query Builder, you have a controller that determines how your connected profile data is included in your Topic: Query Only or All Data.
Query Only
- What it does: By default, this option includes connected profile data only if it matches the keywords and filters you set in the Query Builder.
- When to use it: Use "Query Only" when you want results directly related to your Topic's keywords.
All Data
- What it does: This option pulls in all available connected profile data (as listed above for each network), regardless of whether it matches your Topic's specific keywords.
- When to use it: Use "All Data" when you want to view the total owned activity for that profile, such as all comments and mentions, even if they don't contain your specific keywords.
- Important Note: Selecting "All Data" only bypasses the keyword query (the "included keywords" and "excluded keywords" sections). All other settings and filters in Query Builder (like language, location, etc.) still apply.
How Historical Data Works
When you create a Topic or update the "Query Only" / "All Data" setting for a connected profile, the data for that Topic may reprocess.
| Scenario | Action | Data Behavior |
| Switching the Toggle on an Existing Topic | You change an existing Topic from "Query Only" to "All Data" (or vice versa). | The Topic will reprocess the historical connected profile data already stored in the Topic to match the new setting. For example, if you switch to "All Data," it will resurface all owned data from that historical period, not just what matched the keywords before. |
| Adding a Profile to an Existing Topic | You add a Connected Profile source to a Topic that previously only had Public sources. You select "All Data." | The Topic immediately starts loading with all available connected/owned data from that day forward. No historical connected data will be loaded from before the day you added the profile. |
| New Topic Creation | You create a brand new Topic with both Public and Connected Profiles and select "All Data." | The Topic loads with 30 days of public data and all available connected/owned data, from that 30-day window. |
Important: Other Query Builder filters (like Exclude Noise, Hide Adult Content, Language filters, etc.) still apply to these Connected Profile messages.
You can change this setting when creating the Topic or by editing the Topic query later. It may take several hours to update the messages in your Topic after editing. You can adjust which connected networks/profiles are included after saving the Topic by using the Sources filter.
For details on what information is included in your Connected Profiles, hover over the info "i" icon next to "Connected Profile Data" for a quick summary. You can also click the "Learn More" link at the top right of the Connect Profiles section to open our Listening Resources for a more complete explanation.
If you update an existing Topic and change the data controller setting for Connected Profile data between "Query Only" and "All Data," we'll ask you to confirm the change and reprocess your Topic with the new data selection.
When "All Data" is selected in the Connected Profiles filter, your included/excluded keywords will not apply to messages from your Connected Profiles. However, they will still apply to public messages from the public sources you've selected. (For more details, see the included/excluded keyword section below.)
All other filters in the Query Builder will apply to both public messages and Connected Profile messages.
FAQs
Feature Access
-
How do profile permissions across users in an account impact this data?
-
Due to profile access permissions varying across users, two users in one account may see different results in a single Topic if one user does not have permission to view some profiles, as the Topic Query automatically pulls in all available data into the Topic from the connected sources if enabled.*
- *This is how the Connected Profile experience in Listening has always worked and is not a new experience with this feature

-
Who can access this new feature?
- Any user with Manage Topic access in Listening can update the topic at any time to be ‘query only’ or ‘all data’ for connected sources. This can only be adjusted in Query Builder
Topic Behavior
-
Does the “All Data” option bypass everything in Query Builder?
- No, it only bypasses the include/exclude query in Query Builder. Other Query Builder filters outside of the include/exclude keyword query still apply to these connected profiles messages (such as Exclude Noise, Hide Adult Content, Language filters, etc).
-
When I create a Topic, what is the default behavior?
- The default behavior if you have Connected Profile Data selected as a source is “Query Only”, which will continue to include your connected profile data If it matches the keyword query in your Topic. This is in line with previous Connected Profile Data functionality in Listening.
- Users will have to manually update their query to select “All Data” if they want to bypass their keyword query for Connected Profile Data in active or new Topics
-
Can I do this in all Topic types?
- Connected Profiles are not available in Competitive Topics, so the Connected Profiles Toggle is not available in Competitive Topics. It is available in all other Topic types.
-
If I only have Connected Data in my Topic (no public channels selected as Sources) and set it to “All Data”, do I still need to add query keywords?
- Yes, even if you don’t have any public channels selected as sources and are pulling all connected data into the Topic, you still need to add query keywords to the query, as that is a requirement to build a Topic.
- We are aware that the query keywords do not apply in this case, but they are needed in the query to save the Topic for now due to the way Topics are created.

Existing Topic Impact
-
Will there be any changes to my existing Topics?
- There will be no changes to existing Topics unless a user manually updates their query to select “All Data” for Connected Profiles Data, as the default is “Query Only”
-
When I set an existing Topic to “All Data” does this change all data in my Topic? Or just data moving forward?
- This updates historical data and data moving forward for Connected Profile Data. Data will populate as far back as it is available in your connected profiles within Sprout within your Topic timeline. Historical data is reprocessed within the Topic and may take several hours before it fully populates after editing the Topic.
-
How long does it take for my Topic to update when I change this setting?
- The Topic takes some time to update in the Insights view because Sprout has to reprocess historical data to reflect the new Connected Profile data. This usually takes several hours, and users are prompted with a notice on confirming the save Topic, as well as an hourglass by the Topic name in the Topic, with a notice while the data is reprocessing
