Saved Replies

Saved Replies are managed from Sprout’s Asset Library, where you can store and manage them as Text assets. To enable Saved Replies for your Sprout account, navigate to Account and settings > Inbox Settings and toggle Enabled Saved Replies to ON.

As of March 1, 2024, Saved Replies are available on Sprout's Professional + Advanced Plans.

You can create a Text Asset from the Asset Library. To create a new Text Asset:

  1. Navigate to the Publishing tab.
  2. Click Asset Library on the left-hand navigation panel.
  3. Click Screenshot_2020-07-07_at_10.15.37.png in the top-right corner.
  4. Click Add Text.
  5. Enter an Asset Title and the Asset Text. You can also add Tags and Context from the right side

If you write your own reply that you want to save for you and your team to use in the future, click Add current reply to Asset Library

Using Saved Replies

Text assets saved in the library can be attached via the reply window. To attach Saved Replies, click Screenshot_2020-07-22_at_09.53.58.png to open a list of replies. You can filter these replies by tags or search for the best response by the name of the Saved Reply or by the text within the reply. Click on the saved reply to preview the response and when you're ready, click + Insert Reply.

You can also insert your Saved Reply without previewing it by clicking the + button on the right.

Note: This Saved Reply experience is the same across Cases, Inbox, Reviews and Salesforce.

Recently Used Saved Replies

A list of your last 5 Saved Replies will live in the Recently Used folder at the top of the Saved Reply Library, giving you access to what you need when you need it.  

Managing Saved Replies

Once you configure your Saved Reply Text Assets, you can insert them when replying or creating a message via Compose. You can ensure your messaging is accurate by configuring permissions for who can view, create and edit your Text Assets in the Asset Library permissions.

To prevent your responses from sounding robotic, you can add an extra personalized touch by modifying your responses before they are sent. You can also tailor Saved Replies according to the campaign you are running.

Folders

You can separate Saved Replies into Folders in the Asset Library. By organizing your text assets into Folders, you can better collaborate with your team and streamline your workflows in Sprout. 

Creating Folders

You can organize your assets across teams and Groups by creating Folders in the Asset Library. To create a Folder:

  1. Navigate to the Publishing tab.
  2. Click Asset Library on the left-hand navigation panel.
  3. Click Screenshot_2020-07-07_at_10.15.37.png in the top-right corner.
  4. Click Add Folder. The Create a Folder popup appears.
  5. Enter a name for your folder, and then click Create Folder.

Adding assets to Folders

After you create a Folder, you can start adding assets to it. To add an asset to a Folder:

  1. Navigate to the Publishing tab.
  2. Click Asset Library on the left-hand navigation panel.
  3. Hover over the left-hand corner of the asset you want to add to a Folder.
  4. Select the checkbox for the asset. You can repeat this process to select as many assets as you’d like.
  5. Click Move to Folder at the top of the screen. The Move Items popup appears.

  6. Select the Folder you want to move your asset(s) to.

  7. Click Move to folder name.

Removing assets from Folders

If you no longer need an asset in a particular Folder, remove the asset. To do this:

  1. Navigate to the Folder in the Asset Library you want to remove assets from.
  2. Hover over the left-hand corner of the asset you want to remove.
  3. Select the checkbox for the asset. You can repeat this process to select as many assets as you'd like.
  4. Click image6.png at the top of the screen. The Confirm Delete popup opens.

  5. Click Delete.

Note: Deleting an asset, regardless of the folder it's in, removes the asset from the Asset Library completely. If you want to keep the asset, move it to a different folder.
