How do I filter all My Reports widgets to the same source at once?

Table of Contents

My Reports lets you filter each widget individually, giving you granular control over what data appears in each section of your report. But when you need the entire report — or multiple widgets — filtered to the same profile or source, doing it widget by widget is tedious.

Bulk widget filtering lets you select one or more sources and apply them across multiple widgets in a single action. This is especially useful for agencies managing reports across many clients, or teams that reuse report templates for different profiles.

Availability:

  • Premium Analytics add-on required (not available on Legacy In-Plan Advanced)

  • Manage Custom Reports permission required to apply filters

  • Mobile: Not available

Don't see the bulk filter option? If you have My Reports access but can't find "Bulk filter sources" in the three-dot menu, your account is likely on the Legacy In-Plan Advanced version of My Reports. Bulk filtering requires Premium Analytics. Contact your Sprout representative to learn about upgrading.

How to bulk filter your sources

  1. Navigate to Reports > My Reports and open the report you want to filter.

  2. Click the three-dot menu (⋯) in the top-right corner of the report (next to the "Share" button).

  3. Select Bulk filter sources.

  4. In the modal that appears, you'll see two columns:

    • Left column — Select Sources: All sources (profiles) available in your current Group. You can select them individually or click the network headers (e.g., "All Facebook," "All Instagram") to select all profiles from that network.

    • Right column — Apply to Widgets: All widgets currently in your report.

  5. Select the sources you want to filter by.

  6. Select the widgets you want to apply the filter to — either individually or by clicking All Widgets.

  7. Click Apply.

A success indicator confirms the filter has been applied. Your selected widgets now display data only for the sources you chose.

How the modal works

Widget graying behavior

Widgets in the right column only become selectable when you've chosen an applicable source in the left column. For example:

  • If you select only Facebook sources, any X (Twitter) or LinkedIn widgets will remain grayed out because those widgets don't display Facebook data.

  • If you select an Instagram source, the Instagram-specific widgets become selectable.

  • Cross-network widgets (like Summary or Post Performance) become selectable when ANY source is selected.

This is expected behavior — not an error. Grayed-out widgets simply aren't applicable to the sources you've chosen.

What "Apply" does to existing filters

Bulk filtering replaces the source filter on each selected widget. It does not add to existing source selections — it overwrites them.

If Widget A was previously filtered to show only Profile X, and you bulk-apply Profiles X, Y, and Z to all widgets, Widget A will now show all three profiles.

Filters are saved to the report

Bulk-applied filters are report-scoped — meaning they're saved permanently to the report and visible to everyone who has access. If you bulk-filter a Group Report, all team members viewing that report will see the same filtered data.

What sources can I bulk filter?

Bulk filtering supports three source types:

Source type

What it filters

Where it appears in the modal

Sources (profiles)

Your connected social profiles (Facebook Pages, Instagram Business, X, LinkedIn, TikTok, Pinterest, YouTube, Threads)

Under network headers (e.g., "Facebook," "Instagram")

Competitor Sources

Competitor profiles you've added for competitive reporting

Under a separate "Competitors" section

Ad Accounts & Campaigns

Connected ad accounts for paid reporting widgets

Under "Ad Accounts" section

Note: Bulk filtering is limited to source-type filters. You cannot bulk-apply Tags, Authors, Content Types, Message Types, or other widget-level filters in bulk. Those must still be set individually per widget.

How to clear or reset bulk-applied filters

There is no "Reset all" button for bulk-applied source filters. To clear them:

Option 1 — Bulk-apply all sources:

  1. Open the Bulk filter sources modal.

  2. Select all sources in the left column.

  3. Select All Widgets in the right column.

  4. Click Apply.

This effectively removes the source restriction by including everything.

Option 2 — Clear individual widgets:

  1. Click the configuration menu (gear icon) on a specific widget.

  2. Under Sources, deselect the filtered sources or select all available sources.

  3. Repeat for each widget you want to reset.

Common questions

Why can't I see "Bulk filter sources" in my three-dot menu?
You need Premium Analytics (not Legacy In-Plan Advanced) AND the Manage Custom Reports permission. If you're missing either, the option won't appear. Check with your Account Owner.

Can I bulk filter a Private Report and a Group Report the same way?
Yes. The bulk filter works identically on both. The only difference is who sees the result — Private Reports are visible only to you, while Group Reports are visible to everyone in the Group.

If I bulk filter to one client's profiles, does it affect the PDF export?
Yes. The PDF export reflects whatever filters are currently saved on the report. If you bulk-filter to Client A's profiles and then export or schedule a delivery, the PDF will show only Client A's data.

Can I use bulk filtering and then override individual widgets?
Yes. After bulk-applying a source filter, you can go into any individual widget's configuration and change its source filter. The bulk filter sets the baseline — individual widget filters can still be customized afterward.

Does bulk filtering work with Listening widgets?
No. Listening widgets use Topic-based data, not profile Sources. They will appear grayed out in the bulk filter modal regardless of what sources you select.

I selected "All Widgets" but some are still grayed out — is that a bug?
No. "All Widgets" selects all applicable widgets. Widgets that don't support the source type you selected remain grayed out. For example, if you only select Facebook sources, an X Engagements widget stays gray because it can't display Facebook data.

Can I bulk filter across multiple reports at once?
No. Bulk filtering applies to one report at a time. If you have the same template duplicated for multiple clients, you'll need to open each report and bulk-filter separately.

Tips for agencies managing many client reports

  • Duplicate a template report for each client, then bulk-filter the copy to that client's profiles. This gives you a clean starting point without rebuilding widgets.

  • Use the "All Widgets" shortcut — since most agency reports use the same network for all widgets, selecting all applicable widgets at once is fastest.

  • Combine with scheduled delivery — after bulk-filtering, set up a scheduled PDF delivery so the client-specific report goes out automatically each week/month.

  • Name reports clearly — since filters are saved at the report level, include the client name in the report title so you know which profiles each report is filtered to.
