How do I use Post Templates?

 You can use Post Templates to create sets of pre-approved content within the Asset Library to use as a template within Compose for your team to customize based on brand, local/regional market, set of franchise locations and other uses.

  • In order to manage a user’s Asset Library Permissions, you must have Administrative Permissions AND Manage Permissions in your role.
  • Account owners must configure user permissions for Asset Library (see the Asset Library help article for settings) to view, create, edit, delete Assets and/or manage permissions for other Asset Library users. Users must have Contributor, Collaborator or Admin access to create Post Templates.

Getting Started

To start, access your Asset Library. Navigate to Publishing > Asset Library.

To add a new Post Template:

  1. Click and select Create Post Template from the dropdown in the Asset Library. The Add Asset screen appears.

       2. Enter the Asset Title. (This is required.) 

       3. Enter the Asset Text. You can add emojis and choose text and images from the Asset Library.

       4. Optional: Choose the + button in Post Template Media to upload an existing asset or upload new media from desktop.

Media usage follows the same constraints in terms of media that can be added to a post (i.e. you can add only one video OR up to 10 images, you can’t add a video and images together, etc…)

      5. If you need to remove media from a Post Template, click the trash can icon trash-can-delete-icon.png on the media associated with a post template to remove.
      6. Click Save Changes to save the Post Template.
      7. Click Send to Compose to compose a post directly from the Post Template.
      8. Optional: Click Start Team Conversation to alert team members that the template has been created.
      9. Optional: Add an Internal Note for the template. Internal Notes only show in the Post Template and not in Compose.
      10. Optional: Apply tags to your assets. These tags are sent to Compose alongside your template content.

To view already created Post Templates:

  1. Click Content & Type from the top menu bar in the Asset Library.
  2. Select Post Templates.

      3. Click View Asset to view the Post Template.

To insert a Post Template into Compose:

There are two ways to insert a Post Template into Compose.

1. Insert Post Template from Asset Library (choose any of these three options)

Hover over the Post Template Asset tile and select Send To Compose button OR

When viewing or editing a Post Template within Asset Library, select Send to Compose OR

On the Post Template Asset tile, select the ellipses (three dots) button on the top-right corner and select Send to Compose.

2. Insert Post Template from the Compose screen

  1. Select the Compose button on the top-right navigation pane.
  2. Select the Asset Library action button within the text box area.
  3. Select Import Post Template.

Adding a Post Template into Compose will add the contents of the Post Template to any existing video or image(s) and/or text that exist within the Compose window.

FAQ

Can I use emojis in the text area of a Post Template?

Yes. For users on a Mac computer, right click in the text area and select Emoji & Symbols OR select Ctrl + Cmd + space. For users on a Windows computer, select Windows logo key + . (period).

How can I tell another user that a Post Template is ready for review or get feedback on my Post Template?

Use the Conversation option to @ mention that user so they can see the Post Template and comment. The user tagged will need to have at least Viewer access to Asset Library to view the Post Template.

Can I use Custom Post Variables in my Post Template?

Yes. Custom Post Variables can be manually entered within the Post Template Text area. When the Post Template is sent to Compose, it converts the custom post variable text as long as the selected Profile within Compose is associated with the Custom Post Variable entered.

Example: If there is a Custom Post Variable setup for “location”, type in “{{location}}”within the Post Template Text area and Save. When this Post Template is sent to Compose, it translates to the text associated with {{location}} for that Profile.

If an existing Asset Library media asset is uploaded into a Post Template and that existing media asset is later deleted, will it be removed from any Post Template it's used on?

No. To remove an existing media asset from Asset Library and from any associate Post Template, the media asset must be removed from all areas.
