Internal tagging

You can tag your messages in Sprout Social to group and categorize posts and messages based on your workflows, business objectives and marketing strategies. You can also apply campaign tags to categorize outgoing posts and messages based on your social campaigns.

Note: Tagging is only available on Professional and Advanced plans.

Assigning Permissions

You can set up users on your team to create and manage tags and to add tags to posts and messages.

There are two permissions for users you can apply either when inviting them to Sprout for the first time or through the Users & Social Profiles settings page.

To give a user Tag permissions:

Note: You can only grant tag permissions to a user if you have the Manage permissions company permission and Manage Users.

  1. Navigate to Account and settings > Settings > Roles & Team Members.
  2. Click the user you want to grant permissions to.
  3. Select Manage Tags to give the user permission to create and edit tags. This includes renaming, archiving or unarchiving existing tags and including tags in specific groups.
  4. Select Tag messages in the Smart Inbox and Reviews feature permission sections.
  5. Click Save.

Additionally, users with Needs Approval, Can Reply or Full Publishing permissions for a profile can apply tags to posts from the Compose window.

Managing Tags

After a user is set up with the appropriate tagging permissions, they can start managing tags from the Tags Global Features section in settings. You can have a maximum of 10,000 active and archived tags for an account.

To create label tags:

  1. Navigate to Account and settings > Settings.
  2. Click Tags under Global Features. The Tag Management screen appears.
  3. Select the Group you want to view tags for from the dropdown or search for tags directly with the search bar.

  4. Click Tags in the left-hand navigation.
  5. Click Add Tag. The Add Tag window appears.
  6. Enter a Tag Name.
  7. Select the Groups where you want the tag available. Note that you can only add tags for Groups you have access to.

  8. Click Create Tag.

To edit active tags:

  1. Navigate to Account and settings > Settings.
  2. Click Tags under Global Features. The Tag Management screen appears.

  3. Click the three dot menu Screen Shot 2023-09-14 at 4.35.57 PM.png  of the tag you want to edit.

  4. Click Edit. The Edit tag popup appears.
  5. Update the Tag name or update the Groups the tag is available in.

  6. Click Save changes.

You can't apply archived tags to messages or posts, but you can unarchive tags at any time to resume using them. It's important to archive tags for any past tagging performance.

Note: Archived tags aren't deleted and remain applied to any messages or posts to they were assigned to. Deleting a tag completely removes it from your account, and no record of it remains in Sprout.

You can also manage your active and archived campaign tags from the Tag Settings by clicking Campaigns or Archived.

Click an active campaign tag to update the name, tag type and groups. You can also archive any active campaign tags from the three dot menu Screen Shot 2023-09-14 at 4.35.57 PM.png

 

Assigning Tags

There are two options for applying internal tags: you can assign tags in the Smart Inbox to received messages or in Compose to outgoing posts.

Applying tags in the Smart Inbox

You can assign tags to any message in the Smart Inbox. You can apply a maximum of 100 tags to a message.

To apply a tag to a message:

  1. Click Screen_Shot_2021-01-22_at_3.50.58_PM.png or navigate to the Sprout Tags dropdown if you've adopted Campaigns.
  2. Search for the tag name or select it from the list. If you have the Create & Edit Tags permission you can create a new tag by entering the name of the tag and clicking Create TagNote: When you create a Tag on the fly, it is only available for the Group you created it in. The Tag is not available across Sprout Groups.

Filter Menu and Views

After you apply tags to messages in the Smart Inbox, you can filter the Smart Inbox by individual or multiple tags in the Filter Menu.

Toggle a tag on or off at any time to show or hide it from the Smart Inbox.

Clicking Match all selected changes all selected filters from OR logic to AND logic. By selecting Match all selected your filter finds messages that contain all selected tags.

Additionally, if you don’t select any tags from the Tags dropdown, the only messages that appear in the Smart Inbox don’t contain tags.

You can also create tag-based Inbox Views for personalized customer care. You can exclusively show messages relevant to your team's role and responsibilities by leveraging tag filters in your Inbox Views.

Applying tags in Compose

If you have Needs Approval, Can Reply or Full Publishing permissions, you can apply tags to posts as you create them in Compose. 

To apply tags in Compose:

  1. Open the Compose window and craft your message.
  2. Navigate to the Sprout Tags dropdown.
  3. Choose up to 20 label tags from the list. If you have the Create & Edit Tags permission you can create a new tag by entering the name of the tag and clicking Create Tag.
    Note: When creating Tags on the fly in Compose, the tags you create are only available for the Group that you create them in. The Tags are not available across all Sprout Groups.
  4. Complete crafting your post and either schedule it or send it.

Adding tags in mobile

If you use Sprout's mobile app you can apply tags to your own scheduled, draft or queued posts directly from the Publishing Calendar.

To add a tag to your post:

  1. Tap  tag.jpeg   . Your list of tags appears
  2. Select the tags that apply to your post.
  3. Tap Done.

Now your tags appear in the calendar view and contribute to your campaign management.

Viewing tags

After you apply internal tags to your messages, there are a few places you can see them in Sprout. 

Viewing tags in the Publishing Calendar

You can view campaign tags at-a-glance in the publishing calendar. Not only can you see how long a campaign is running for, you can also see which campaigns have dedicated posts on that day.

If you also want to see what types of content are scheduled, you can select a label tag from the Tags dropdown, or filter down to only see updates for a single campaign at a time.

 

Viewing tags in the Post Performance Report

Another place where you can see tags is in the Post Performance Report. Any message with at least one tag applied to it shows the tag icon. You can hover over the icon to see the tags applied to the message.
