How do I export user permissions?

Account Owners and Super Admins can export a full list of users' permissions as a CSV file. Use this export to audit access, ensure permissions are set correctly, or share with your security or compliance team.

Available on all plans. Mobile not supported.


How to export user permissions

  1. Click your initials in the bottom-left corner of Sprout.

  2. Select Account & Settings.

  3. Navigate to:

    • Groups & Social Profiles (Standard and Professional plans)

    • Roles & Team Members (Advanced plan)

  4. (Optional — Advanced plan) Use the Filter button in the Team Members section to narrow by Group, Role, or Permission before exporting. Only the filtered users will appear in your export.

  5. Click Export permissions. The Export permissions modal appears.

  6. Select one or more of the following:

    • Group Access — See which users have access to each Group in your account.

    • Company & Feature Permissions — See which Sprout features and admin permissions each user has enabled.

    • Profile Permissions — See which social profiles each user can access and at what permission level.

    • Roles — See which users have been assigned to Roles and what permissions those Roles include. (Advanced plan only)

  7. Click Export. A CSV file downloads to your device.


How to analyze the CSV export

The CSV uses a matrix format: users appear as columns and permissions, roles, Groups, and profiles appear as rows. Each cell contains:

  • 1 — The user has access to that permission, role, Group, or profile

  • 0 — The user does not have access

If you exported both Group Access and Profile Permissions, profiles are listed directly below their associated Group in the row order.

To identify what permissions a specific Role includes: Find a row for the Role and look across users who have a 1 in that row — then scan down to the permission rows for those users to see what the Role grants.


Using filters to export a specific subset of users (Advanced plan)

Rather than exporting all users every time, Account Owners and Super Admins on Advanced plans can filter Team Members before exporting. This is useful when you need to:

  • See all users who have access to a specific Group or profile

  • Find all users assigned to a particular Role

  • Export a subset for a targeted audit (e.g., before offboarding a team)

To filter:

  1. On the Roles & Team Members page, click Filter in the Team Members section.

  2. Filter by:

    • Groups & Social Profiles — Show users with access to specific groups or profiles. Use Match all selected to require AND logic (instead of OR).

    • Roles — Show users assigned to a specific Role.

    • Permissions — Show users with a specific admin, company, or feature permission.

  3. Click Export permissions. Your filter selections persist into the export options modal.

  4. Select your export options and click Export.


Auditing permission changes over time

The permissions export shows current access — a point-in-time snapshot. To see a history of who changed what and when, use the Customer Audit Trail:

  1. On the Groups & Social Profiles or Roles & Team Members page, click Export logs.

  2. Select a date range.

  3. Click Export to download a CSV of all permission-related events in your account.

The audit trail logs every EXPORTED_USER_PERMISSIONS event, so you can also verify when exports were run and by whom.

FAQ

Who can export user permissions?
Account Owners and Super Admins (Advanced plan only). Regular admins with Manage Permissions cannot run this export.

Can I export permissions for just one user?
Not directly — the export always generates a matrix for all users (or filtered users). To view a single user's permissions, navigate to their profile in the Team Members section.

Does the export show what permissions are included in a Role?
Not as a separate column. To see what a Role grants: find a user assigned to that Role in the CSV, then check their permission rows (1s) to identify what the Role provides.

Is this available on mobile?
No. The export feature is only available on the Sprout web app.

Can I import a modified CSV to bulk-update permissions?
No. The export is read-only. To bulk-update group and profile permissions, use the Bulk User Permissions feature under Roles & Team Members.
