Custom Reports Moving to My Reports - November 2024

Sprout's custom reporting is undergoing an exciting makeover with My Reports, a new offering that offers additional flexibility in the way that Premium Analytics subscribers can tell stories with their social data.

As part of this evolution, we're offering the ability to copy all of your saved Custom Reports into the new My Reports framework, prior to the eventual sunset of Custom Reports in the coming months.

Below are a series of questions that clarify what you can expect as a part of this transition. If you have additional questions, please don't hesitate to reach out to your Sprout Social Customer Success Manager.

Why is Sprout making the switch from Custom Reports to My Reports?

My Reports is an enhanced version of Sprout’s Custom Report Builder that unlocks more options for data visualizations, filtering and widget types so that you can build compelling and customized stories and drive data-backed conclusions.

What are the implications of Opting In or Opting Out of the migration, or Deciding Later?

Opt In: If you choose to Opt In, the report migration process begins immediately. Sprout will copy your previously saved Custom Reports into the new My Reports framework. Custom Reports then immediately move into read only mode, meaning you can't make any changes including filtering and sharing, and they will remain that way until deprecation later this year. All future custom reporting will be performed in My Reports. This decision can't be undone.

Opt Out: If you choose to Opt Out, your previously saved Custom Reports will not be migrated to My Reports. Custom Reports will immediately move into read only mode, meaning you can't make any changes including filtering and sharing, and they will remain that way until deprecation later this year. All future custom reporting will be performed in My Reports. This decision can be reversed at a later time by accessing one of your read-only Custom Reports and clicking the link in the banner to Opt In to migrating your saved Custom Reports.

Decide Later: If you choose to Decide Later, you retain access to Custom Reports and My Reports until Custom Reports is deprecated later this year, at which point you'll automatically be opted in to have your saved Custom Reports migrated. Until that time, you continue to have the ability to Opt In or Opt Out.

Who can make the decision whether to Opt In or Opt Out?

Account Administrators and users with Super Admin permissions can confirm the choice to Opt In or Opt Out. Non-Administrators can view the implications of either choice but can't confirm whether or not to proceed.

I accidentally Opted Out; can I still migrate my saved Custom Reports?

Yes! If you accidentally opted out of migrating your saved Custom Reports into My Reports and would like to move forward with that process, access one of your existing read-only Custom Reports. Here a banner appears within the report that offers the opportunity to reverse your decision and migrate your saved Custom Reports into My Reports. Please note this won't enable your old Custom Reports to be edited within Custom Reports, but you can edit them within My Reports.

Will I lose access to the ability to create customized reports?

You will not lose the ability to create customized reports in Sprout Social. Report creation will move from the Custom Reports section of the app to My Reports. Much of the functionality will feel the same, but you’ll see exciting new features available in My Reports that were not previously available in Custom Reports, such as widget-level filtering, with more to come.

What’s new in My Reports?

You can apply filters at the widget-level and in many cases, widgets have more metrics that you can display. In Custom Reports, all filters were applied at the report level. You can access these widget-level filters using the configuration menu in the top right corner of each widget.

 

 

You can bulk filter by Source if you want to select the same profile(s) across every widget from the three-dot menu at the top of the report.

 

 

What happens to my previously saved Custom Reports?

What happens to your previously saved Custom reports depends on whether you choose to Opt In or Opt Out of the migration.

If you choose to Opt In, your previously saved Custom Reports get transferred into the new My Reports framework. These reports will appear largely the same, but you’ll have access to new filtering capabilities. You'll retain temporary access to Custom Reports in read-only mode until Custom Reports is deprecated later this year.

If you choose to Opt Out, your previously saved Custom Reports will not be migrated into My Reports. This option is intended to give you the ability to “start fresh” in My Reports. You'll retain temporary access to Custom Reports in read-only mode until Custom Reports is deprecated later this year.

If you choose to Decide Later, you'll retain access to both Custom Reports and My Reports until Custom Reports is deprecated later this year, at which point you'll automatically be opted in to the Custom Report migration. You'll retain the ability to Opt In or Opt Out until that time.

Why do my filters appear differently after migrating?

In Custom Reports, every report was user-scoped, meaning that two users could view the same report and see different information depending on the filters that they had applied the last time they viewed the report, without respect to filters a different user may have applied.

In My Reports, every report is group-scoped, meaning that if User A applies filters to a report, User B who views that report sees the filters applied by User A.

When reports are migrated, Sprout favors the most recent version of that report. For example, if User A created a report seven (7) days ago, and User B changed the filters two (2) days ago, the migrated version will contain the filters applied by User B.

How can I re-create and save my user-specific filters?

If you’d like to ensure that your filters are not altered, My Reports offers the ability to create Private Reports that are visible only to the user who creates them, as well as public reports that are available to any user in the Group. In order to continue using a report that you previously created with your preferred filters, it is recommended that you duplicate the relevant My Report and set it to Private so that other users are unable to alter it.

 

 

What happens to my scheduled PDF and Shared Link deliveries?

Your scheduled PDF and Shared Link deliveries will be migrated alongside the report and continue to function as expected. There will be a few minor differences, such as modifications to the beginning pages in a PDF and minor name alterations to widgets (e.g. “Tagged Published Post Engagements” will be simplified and shortened to “Engagements by Tag”).

What happens to my Favorited reports?

Any Custom Reports that you have marked as a Favorite will have their new version marked as a Favorite as well once the migration has completed. 

What can I expect after the migration completes?

Once the migration of your saved Custom Reports to My Reports is complete, your Custom Reports will be converted into read-only mode, while you’ll be free to access and fully edit your copied My Reports.

You’ll no longer be able to create new reports in Custom Reports, and instead will do so in My Reports.

In the coming months, Custom Reports will be deprecated entirely, so it is recommended to begin using My Reports as soon as possible.

How can I tell the difference between existing My Reports and those that have been migrated from Custom Reports?

There will be a special icon denoting if a My Reports report has been migrated from a Custom Report.
